Restrict work items to a project role after a transition
By setting the work item security level after transitioning a work item, you can control who can access the work item based on their project role. This protects sensitive information by allowing only people with the project role to view and edit work items.
You must be an admin to perform the actions on this page.
To check for project roles:
Go to Settings () > System > Project roles.
Make sure the project role you want to restrict access to is there. If it isn’t, add or edit project roles.
To add people to a project role:
From a project, go to Project settings > People.
Select Add people.
Type names, groups, or email addresses.
Select the Role.
To add a work item security scheme:
From a project, go to Project settings.
Under Work items, select Security.
Select Actions > Edit work item security.
Fill in the fields under Add security level.
Select Add security level.
For the new security level, select Add.
Choose the project role you want to restrict work items to.
Select Add.
To add a post function and condition to a workflow:
From a project, go to Project settings > Workflows.
Edit the workflow associated with the project.
Select the transition you want to add the permission to and choose Post functions.
Select Add post function.
Select Set work item security based on user’s project role.
Select the project role and work item security level.
Select Conditions.
Select Add condition.
Select User is in any project role.
Select the project role.
Select Add.
We add the condition to stop people who aren’t supposed to see the work item in the new status from accidentally moving the work item.
